Overview

The Spare Part Specialist is responsible for entering purchase requests, maintaining inventory levels, performing budget transfers, and documenting and reporting maintenance information. 

Responsibilities

Essential Functions (To perform within this position successfully, the incumbent must be able to perform each essential duty satisfactorily. Other duties may be assigned.) 

  • Create purchase requests for maintenance parts, operating supplies, and outsourced services 
  • Create new part number request in VAATZ and Global Master Data Management system 
  • Track purchase request status until parts are delivered 
  • Collect information from vendors on parts delivery 
  • Work with Purchasing and Accounting for processing invoices and payments 
  • Make monthly purchasing summary report 
  • Make list of contractor and vendor information 
  • Collect and file parts usage cards 
  • Document and maintain proprietary stock of spare parts 
  • Report inventory list each month to Spare Part Manager 
  • Work with part cage Technician for inventory tracking and control 
  • Oversee forklift maintenance standards and plan, and record repair history and summary repair cost 
  • Prepare daily work summary report 
  • Park department documents including reimbursements in SAP 
  • Pick up parts from receiving, label with VAATZ #, and place in parts cage 
  • Complete maintenance service reports for outsourced services 
  • Assist maintenance management as needed 
  • Organize parts cage to 3R5S standards 
  • Maintain inventory of consumable items on a weekly basis, and reorder as needed 
  • Set up vendor accounts as needed 
  • Park invoices and perform budget transfers in Mobis E-Accounting System 
  • Required to work with, handle, store, or otherwise manage hazardous materials, and must comply with all applicable regulations established by the Alabama Department of Environmental Management (ADEM) and the Environmental Protection Agency (EPA). 
  • Responsibilities include ensuring safe and compliant management of hazardous materials in accordance with state and federal regulatory requirements. 
  • May be required to participate in training for handling of hazardous materials. 
  • Prompt, regular, predictable attendance 
  • Physical presence at work during all scheduled work hours  
  • Overtime and weekend work as required 
  • All other job duties as assigned

Qualifications

Basic Qualifications (The requirements listed below are representative of the knowledge, skills, and/or ability required and preferred for this position.) 

Required Knowledge, Skills, & Abilities: 

  • Organizational skills 
  • Written and verbal communication skills 
  • Proficiency in Microsoft Excel 
  • Ability to work overtime, weekends, and holidays as needed 

 

Preferred Education & Experience: 

  • High School Diploma or Equivalent  
  • Automotive Manufacturing Experience 
  • Inside sales experience 
  • Experience in SAP 
  • Experience in VAATZ 
  • Purchasing or financial experience dealing with budgets 
  • Knowledge of industrial and electrical parts 

 

Working Conditions 

  • 80% office, 20% parts cage 
  • Occasionally lift 20-30 lbs.
